Confirmation of Vacancy 4027TPP Job Title: Sales Order Administrator Reporting to: The Commercial Sales Manager Taking daily work instructions from the Team Leader, and working in a team with other staff. Qualifications Required: Previous experience of order processing skills and exporting overseas Confident with good communication skills to liaise with our wide range of worldwide customers, including small one off accounts and large key accounts. Computer literate, preferably with previous experience of an integrated or SAP system. We use Microsoft dynamics Navision system. Meticulous and accurate Interest and ability to understand and learn the technical properties/data about the product range - ultra violet curing systems predominantly for the graphics arts industry. Must speak and write fluent English Bi-lingual - offering a foreign language - an advantage Training In house and external training will be provided for the following purposes: To gain product knowledge. To understand the processes which happen in production. To operate the company MRP computer system, in particular the order processing procedures. To understand the export procedure/terminology. Operational Tasks: The orders received are for capital equipment, and order values are typically £ 5,000 - 200,000 - Processing orders using the Navision MRP system, together with the wide range of word-processed supporting documentation, and Excel spreadsheets. - Ensuring that you are aware of all details concerning orders (invoiced and free of charge), which enter the production programme. Ensuring that this is up-dated on a daily basis and that all relevant staff is informed accordingly. Liaising with Engineering, Production, Service, and Accounts staff, as necessary. - Taking full responsibility for processing and progressing all sales orders which impact on the production programme with the aim of despatching goods according to the customers' requirements. - Booking transport so that systems are despatched via whatever method necessary to meet customer requirements. - Preparing operating manuals. - Updating the Navision historical data with relevant end user details, which fall outside the automatic recording. - Providing documentation as required for trial and loan systems, up-dating the computer records, as required. - Attending meetings as required to advise of new orders and to agree lead-time dates. - Preparing statistics and graphs as required for production planning and management purposes. - Processing spares orders and service orders/upgrades as and when required. - Keeping abreast of all necessary export procedures and documentation for despatch - those for EC and those for the rest of the world. Hours of work & remuneration Monday to Friday Office hours 08:45 - 17:15 45 minutes lunch break. 28 days holiday, including UK Bank holidays pro rata - joining in 2015 33 Days holiday, including Bank holidays - from 2016. After long service holiday increases further. Salary: £22-24,000 Pension upon joining, Life Assurance after qualifying period Private health cover & increased pension contributions after further qualifying period. Interview Process: 1st interview: Interview with discussion -HR Manager and/or Director 2nd interview: Tour of premises, paperwork exercise & discussion with Manager, Sales Order and a discussion with HR.
